Privacy Policy
Effective date: April 1, 2026.
This policy describes how Maine Endurance Sports Alliance (MESA) handles information connected with mesa-maine.org and inquiries sent to our team. Event-registration platforms and other external services also have their own privacy notices.
Information you provide
When you contact MESA, you may provide your name, email address, phone number, organization, event interest and message. If you ask about an existing registration, you may also provide registration details needed to identify your request.
Please do not send payment-card details, identification documents or medical information through the general contact form or ordinary email.
How inquiry information is used
Information submitted in an inquiry is used to respond, identify the relevant event or registration, coordinate volunteer or sponsorship interest, and keep records of the conversation. A general inquiry does not itself register you for a race, enter a contest, or provide consent to unrelated marketing.
Website and form services
The website uses WordPress. The contact page embeds a HighLevel form hosted through link.smithdigitalsolutions.com. Information submitted through that form is processed through the form service and the systems used by MESA and its website administrator to manage inquiries. The email address listed for direct inquiries is hosted by Gmail.
Website hosting, form and communications providers may process technical information such as IP addresses, browser/device information, request times and security logs when you visit or use these services.
Race registration and external services
Race-registration links may lead to RunSignup, AdventureSignup or another provider identified for the event. Those services may collect registration, payment, participant and event-related information under their own notices and terms. Review the provider’s disclosures before registering. Where a provider makes registration information available to MESA for event administration, the applicable event notices should explain that use.
Links to course maps, stores, news, videos or other sites may connect you with services MESA does not operate. This policy does not replace their privacy notices.
Access and disclosure
Inquiry information may be accessed by MESA team members and service providers involved in responding to the request or administering the relevant activity. Information may also be disclosed when required by applicable law or in response to a valid legal request.
Cookies and similar technologies
WordPress, hosting tools and embedded services may use cookies or similar technologies for functions such as security, sessions or form operation. Browser settings can manage some cookies; blocking them may affect functionality. For questions about the tools used on this website and available privacy choices, contact MESA.
Communications and your choices
You can ask questions about your information or request access, correction or deletion by contacting MESA. Requests are subject to identity verification, applicable law and any records that must be retained. An inquiry does not guarantee deletion of records held independently by a registration provider; you may need to contact that provider directly.
If you separately subscribe to promotional email, use the unsubscribe instructions in that communication. This policy does not itself enroll you in an SMS program or provide consent to marketing text messages.
Retention and security
Contact MESA for information about retention of inquiry and event-related records, including applicable operational, accounting and legal requirements. Service providers may have separate retention schedules. No internet transmission or storage system can be guaranteed completely secure.
Children and youth participation
The general contact form is intended for adults making inquiries. Parents or guardians should handle questions and any required permissions for youth participation. If you believe a child has submitted personal information inappropriately, contact MESA. Youth registration and any related permissions are handled through the applicable event-registration process and notices.
Policy changes
When this policy is updated, MESA will publish the effective or updated date. Additional notice or permission may be needed for changes affecting previously collected information, as required by applicable law.
